Estimated attendees is a number you can enter to track attendance for your events.
This is a great option if you're not using check-in or Zoom. You might be short on resources to check in guests or importing attendance data from other conferencing platforms, like Google Meet.
1. Go to the Event insights page for your event. Click on the Check-in button.
2. Click on the add Estimated attendees button.
3. Enter a number in the Estimated attendees field.
Note: If your event has a feedback form, select the guests you would like to send the feedback form to. Feedback forms are sent to guests marked as attended, but if you are using estimated attendance, there will be no guests marked as attended.
4. Click Save. You'll be redirected to the insights page, where you can see the attendees badge with the estimated attendees number. The tilde symbol represents an estimated count.
Note: Using estimated attendees will replace any existing attendance data. This means if you checked in a guest, this information will not appear anymore.
You also won’t get any attendee information, like department and location. You can always remove the estimate to restore check-in data.
Estimated attendees can be entered for each individual session, but a feedback form is shared across all sessions for a multi-session event.
This means that if you already selected feedback form recipients for a session while entering estimated attendees, you will see the same selected recipients when entering estimated attendees for another session.
The most recently selected feedback form recipients will apply to all sessions.
If a multi-session event has sessions with guests marked as attended and sessions with estimated attendees, attended guests will automatically receive feedback forms since attendance data is available.
When estimated attendees is used, any existing attendance data will no longer be shown. This is because estimated attendees will be used to represent total attendance for the event, meaning that individual attendance data will be replaced as it may conflict with the estimated attendees.
Any attendance data prior to entering estimated attendees can be restored by removing the estimated attendees from the event.
Selected guests will only apply to feedback form requests going forward. This means if the feedback was already sent, you will need to resend the feedback form in order for selected guests to receive it.
Note that guests who already filled out the form won't receive further feedback requests.
